What You’ll Be Doing
- Provide proactive, high‑level administrative support to the President & CEO and senior leadership team
- Manage complex, high‑volume executive calendars across multiple time zones; anticipate conflicts, proactively resolve issues, and optimize schedules
- Coordinate executive, board‑level, and international meetings, including preparation of materials and end‑to‑end logistics
- Arrange and manage extensive domestic and international travel, often on short notice, ensuring efficiency and attention to detail
- Prepare, review, and submit expense reports and invoices using electronic systems with accuracy and timeliness
- Handle highly sensitive and confidential business, strategy, and product‑related information with the utmost discretion and professionalism
- Review, prioritize, and manage correspondence; draft responses and highlight required actions to support executive decision‑making
- Serve as a trusted liaison between senior leaders, internal stakeholders, and external partners, including suppliers and executive‑level contacts
- Create and maintain organized filing and record‑keeping systems in alignment with governance and records management standards
- Ensure adherence to internal controls, compliance requirements, and company policies
- Operate independently, exercising sound judgment, initiative, and accountability with minimal direction
What We’re Looking For
- Associate’s degree or an equivalent combination of education and relevant experience
- Minimum of 3 years’ experience providing executive‑level administrative support
- Exceptional written and verbal communication skills with a polished, professional presence
- Advanced proficiency in Microsoft Office and digital collaboration tools
- Strong organizational and time‑management skills with the ability to manage competing priorities and deadlines
- Demonstrated ability to consistently maintain confidentiality and exercise discretion
- Comfortable working independently and making informed decisions in leadership’s absence
- Proven ability to build effective relationships and interact confidently with stakeholders at all levels of the organization
The starting salary is based on but not limited to experience, knowledge, and qualifications in determining compensation decisions. The Salary Range for this position is: $74,400.00 - $113,400.00.
